Positions Available at IMC Healthcare

As part of the Patient Service Support team of International Medical Clinic (IMC), the Patient Service Officer will be the first point of contact for patients, internal and external customers, whether in person, over the phone, or via email. This role combines the patient service desk reception duties in the clinic and the IMC Call Centre patient service officer’s responsibilities to support the provision of family, paediatric, and travel medicine services for all our patients. The Patient Service Officer will work in conjunction with the Patient Service Supervisor, Group Clinic Manager (GCM), Clinic Managers (CM) or Clinic-In-Charge(s)(CIC) to support all frontline patient services.

JOB RESPONSIBILITIES:

  • Front Desk Operations: Manage a clean, organized, and welcoming patient service desk and waiting area, ensuring readiness during clinic hours.
  • Patient Interaction: Greet and assist patients and visitors professionally, managing check-ins, walk-in registrations, and appointment bookings.
  • Appointment Management: Schedule, reschedule, and coordinate appointments (including follow-ups and delays), both in-clinic and over the phone/email.
  • Call Centre Duties: Handle high volumes of inbound/outbound calls, triage clinic-specific queries and route calls to appropriate teams.
  • Email & Communication Management: Respond to patient emails, confirm online bookings, and manage clinic communication platforms.
  • Insurance & Billing Support: Support in-clinic Insurance Direct Billing (IDB) related tasks, update billing details, and collect payments during patient visits.
  • Clinical Coordination: Support clinical teams with referrals, lab sample handovers, and follow-up scheduling.
  • Telehealth & Documentation: Conduct basic tele-triage and maintain accurate records of patient communications and actions.
  • End-of-Day Procedures: Close the clinic by securing systems, balancing transactions, and locking up according to protocol.

JOB REQUIREMENTS:

  • NITEC / Higher NITEC / Diploma in Healthcare Administration, Business, or related field.
  • At least 2 years’ of experience in a healthcare, clinic, or patient/customer service setting is preferred.
  • Prior experience with front-desk operations, call centre work, or patient services will be an advantage.
  • Proficient in using Microsoft Office applications, clinic management systems
  • Familiarity with medical terminology and clinical workflows is desirable.
  • Proven ability to multitask effectively and manage time well in a dynamic, fast-paced clinical environment.
  • Strong interpersonal skills, with a warm and patient-centric approach and a commitment to delivering high-quality customer service.
  • Strong problem-solving skills with the ability to assess situations quickly and escalate issues appropriately.
  • Collaborative team player with a proactive attitude.

As part of the clinic team of IMC, the Registered Nurse (RN) / Health Care Assistant (HCA) will provide all the day-to-day requirements to support the provision of family, paediatric, and travel medicine services to our patient base.

The RN/HCA will work in conjunction and under the directions of the Clinic Manager and Nurse-In-Charge to support all the Clinic Doctors, Medical Receptionists and Healthcare Assistants of IMC.

Job Description:

  • Supporting doctors with clinical functions such as administering vaccinations, blood taking and assisting with minor procedures
  • Dispensing of medication to patients under doctor’s order
  • Attending to patient’s pre & post consult enquiries
  • Administrative duties related to patient files and requests for imaging and pathology

Job Requirements:

  • Minimum Diploma in Nursing or equivalent
  • Holds a valid Nursing Registration
  • BCLS and AED certified
  • Minimum 2 years of relevant clinical experience
  • Friendly disposition and service-oriented with good interpretation skills
  • Self-motivated and a team player

The Insurance Direct Billing (IDB) Administrator is responsible for the accurate and timely processing of direct billing to insurance companies, including supporting billing requirements for the Qualitas Group as part of the IMC team. The role involves close coordination with internal clinical staff and/or medical teams to ensure billing accuracy, prompt resolution of billing issues, and the maintenance of comprehensive and compliant records. Working closely with, and under the direction of, the Insurance Direct Billing Manager, the IDB Administrator manages all day-to-day direct billing activities to ensure smooth financial operations and the delivery of high standards of customer service across family, paediatric, and travel medicine services.

Job Responsibilities:

1. Billing Administration

  • Submit direct billing invoices to insurance companies within 24–48 hours of patient visits, ensuring compliance with policy terms and eligibility checks.
  • Monitor the entire billing cycle to ensure timely and accurate claim processing in line with company and insurer guidelines.
  • Verify and update patient and insurance details as needed.
  • Follow up with doctors and patients to obtain any missing documentation required for claim submissions.

2. Payment Processing

  • Monitor and process insurance payments, applying EOBs accurately in Plato Medical.
  • Ensure timely processing of partial payments and follow up on failed credit card transactions.
  • Prepare refund documentation for approval and month-end processing.

3. Account Management and Problem Resolution

  • Maintain accurate records of all billing transactions, including claims submitted, payments received, and outstanding balances.
  • Manage opened billing to be closed and money is collected, by 90 days after invoice date.
  • Identify and resolve billing discrepancies and issues with insurance companies.

Job Requirements:

  • Minimum Diploma in any discipline
  • At least 2 years of relevant experience
  • Insurance/claims related experience is preferred
  • Accounting knowledge and experience in healthcare will be an advantage
  • Meticulous with good numeracy and time management skills
  • Proactive, independent and able to work with minimum supervision.
  • Good team player and service oriented
  • Good knowledge on Microsoft Office applications
